Main Purpose of Job
The office clerk primarily assisting the Family Investment Administration Division supporting the Supplemental Nutrition Assistance Program (SNAP), Temporary Cash Assistance (TCA), Emergency Allotments (EA) and other programmatic offerings within this division. In the provision of duties, the incumbent will be expected to schedule and support various unit and leadership meetings with internal and external stakeholders, monitor and track divisional spending providing notification of overages and balances. This position will also support learning data capture needs for the division and will act in a support capacity to observe, learn and demonstrate advance knowledge of data capture for the Emergency Unit. The work requires exercise of discretion and considerable judgement in applying laws, rules, and procedures related to the clerical functions.
POSITION DUTIES
- Assists the Administrative Supervisor by providing backup coverage as necessary to ensure the efficient management and support of the Family Investment Administration and at times the Family Services Division.
- Provides support to the leadership within the FIA Division supporting the meeting organizers with scheduling through agenda and minutes creation, dissemination and storage of said meetings for audit needs.
- Assembles, complies, and summarizes data, policy and action transmittal updates in effort to prepare reports, present statistics, charts, and graphs for Administrative Supervisor, Deputy Director, FIA leadership and or the Department of Human Services when requested.
- Reports errors with mail collections, financial tracking or missed documentation on request for transportation needs.
MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Two years of experience performing administrative staff, clerical, clerical technical, or secretarial work.
Notes:
1. Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicantswho possess the following preferred qualification(s).Include clear and specific information on your application regardingyour qualifications.
One year of experience with Microsoft Excel, Access, GoogleSuites to include Google Suites.
One year of experience creating and maintaining spreadsheets.
One year of experience in taking meeting minutes.

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
